Best SEO software: what it costs and how far the data agree

Author: Matteo Pellegrini

SEO software is the set of programs used to measure four things: what people search for, where a site appears, who links to it from outside and which technical errors stop Google from reading it. Scores, automatic recommendations and colourful reports are built on top of those four data sets.

The question that comes before choosing a subscription is how reliable that data is. We took ten real searches from a client project and compared the volume a rank tracker gives with the volume Google's Keyword Planner gives on the same day: on three of them the gap is over 40%, and two spellings of the same word get an identical number, which has a precise practical consequence.

All prices on this page come from the official price lists read on 26 September 2026, in the currency the vendor publishes them in.

Ten searches, two sources, gaps of up to 63%

The keywords belong to one of our clients, an Italian manufacturer of LED screens: Italian market, Italian language, so the queries stay in Italian. On the left is the monthly volume reported by the rank tracker we use at the agency (Keyword.com), on the right the Google Keyword Planner figure read through DataForSEO on the same day.

The first row says more than all the others. "led wall" and "ledwall" get exactly the same volume from both sources, 8,100. Google is not counting two different searches: it counts one and assigns it to both spellings. Anyone who builds a content plan by adding the two rows together ends up with 16,200 monthly searches, of which 8,100 do not exist. The same happens in English. In the UK, "led wall" and "ledwall" both show 1,000 searches a month, "led screen" and "led screens" both 1,600, "hairdresser near me" and "hairdressers near me" both 165,000 (DataForSEO, Google Ads UK, September 2026). It applies to any pair separated only by a space or a plural. No interface warns you, and none of the guides on page one for this topic mentions it.

The real gaps are the other half. "maxischermi" (big screens) is worth 1,300 searches for the rank tracker and 480 for Keyword Planner. "ledwall da esterno" (outdoor LED wall) 720 against 390. In the opposite direction, "ledwall prezzo" (LED wall price) 590 against 720. Neither source is wrong: the rank tracker keeps a twelve-month average refreshed at intervals, Keyword Planner returns the latest available period and moves with seasonality. For "ledwall da esterno" the Planner records 170 searches in December 2025 and 720 in July 2026: for a product installed outdoors, any annual average describes both winter and summer badly.

The rule we draw from it, and apply when we do keyword research: the volume of a single keyword is not a figure to decide on, the order of magnitude is. And before volume comes search intent, because 8,100 searches on the wrong query are worth less than 210 on the right one.

A high position is not traffic

The second comparison comes from the same project: an Italian LED screen manufacturer, Italian-language site, Italian market. The rank tracker puts four numbers on the same screen: position, volume, the traffic it estimates and the real data pulled from Search Console.

Same dashboard, same keywords, 13 September 2026. Estimated traffic is the tool's model; impressions and clicks come from the Google Search Console property connected to the same project.

On the main search the site is first, the tool estimates 3,223 visits a month and Search Console counted 10, from 966 impressions. It is not a software bug: estimated traffic takes the search volume, applies a click-through curve by position and returns a number. Search Console counts what actually happened.

The two figures diverge because the theoretical curve is calibrated on a results page that no longer exists. Above the first organic position today there are image blocks, product listings and generated answers, and the first blue link sits much lower than it did three years ago. A second, more mundane reason is that the volume includes searches that have nothing to do with a supplier: people searching "led wall" are often looking at a concert.

The practical consequence is that you should not buy SEO software before connecting Search Console, which is free. Anyone who reasons only on estimated traffic ends up defending positions that bring nobody and neglecting pages that convert with twenty visits. We cover how to read the gap between the two tools in the guide to Google Analytics, and why traffic then fails to become enquiries in the piece on the website that doesn't convert.

The suites that matter for UK sites

On the UK first page for "best seo software" the results are lists from Zapier, Morningscore, Marketer Milk, Capterra and others, and the AI Overview names Semrush, Ahrefs, SE Ranking, Mangools, Surfer and Screaming Frog. The useful list is shorter, because the criterion that weighs most is not the number of features but how well the platform knows the searches in your market and language. In Italy that is why we pair an international suite with SEOZoom, a national tool; for English-language sites the international suites are the reference, and the choice is between Semrush, Ahrefs and a cheaper alternative such as SE Ranking.

Price lists read on 26 September 2026 at semrush.com, ahrefs.com, seranking.com and screamingfrog.co.uk. Monthly prices with monthly billing; annual billing is 17-20% cheaper.

Semrush and Ahrefs cover dozens of countries with the same infrastructure, and on long-tail searches, the ones with 20 or 50 searches a month that bring the real enquiries in a B2B sector, the depth of each database shows. Keep one suite, not three: Semrush and Ahrefs largely do the same things on different databases.

Ahrefs Lite at $129 includes 5 projects, 750 tracked keywords and 100,000 crawl credits a month; an extra user costs $40. Semrush's SEO plan at $139 gives 5 sites and 500 keywords updated daily, with extra users at $45. The sum to do is not on the fee but on the fee divided by the sites you will actually work on: an agency with twelve clients pays less per site with SE Ranking Growth ($279 for 30 projects, $9.30 a project at full use) than with any five-project plan ($27.80 a site on Semrush SEO).

How much you can do without paying anything

Five free tools cover most of the questions a business asks about its own site, and they should be switched on before any subscription, as in the minimum stack for an SME.

  • Google Search Console: the queries the site appears for, with impressions, clicks and average position. It is the only source that measures instead of estimating, and sixteen months of history are included.
  • Google Analytics 4: what people do once they are on the site.
  • Keyword Planner: search volumes straight from Google. Without an active campaign it shows wide ranges instead of exact numbers, which is enough to decide a content plan.
  • Screaming Frog SEO Spider: the technical crawl of the site, free up to 500 URLs. Most small business websites fit within that.
  • Bing Webmaster Tools: it matters more than Bing traffic suggests, because its index feeds part of the generated answers.

With these five you can run a complete SEO audit on a medium-sized site. What you cannot do is daily rank monitoring and competitor analysis: for that you need the data only the suites collect.

The feature born in 2025: citations inside AI

Over the last eighteen months every suite has added monitoring of mentions inside ChatGPT, Perplexity, Gemini and Google's AI Overviews. Ahrefs includes 5 tracked prompts in the Lite plan, Semrush includes AI visibility in its SEO plans. These are small quantities: five prompts are enough to see whether the brand appears, not to build a strategy on.

Whether it is worth paying for depends on how much the phenomenon weighs in your sector. In the Macropix case, whose numbers we published in the article on SEO for manufacturing, 32.7% of the keywords in the cluster already show an AI Overview, equal to 24.7% of total search volume, and when the AI Overview is there 43% of searches end with no click at all. With numbers like that, monitoring is useful. In a sector where AI Overviews appear on 5% of queries, it is not. The comparison of dedicated platforms is in our review of AI visibility tools.

The UK context helps keep things in proportion. According to the ONS article Artificial intelligence in UK businesses: 2023 to 2026, published on 20 July 2026, AI use among businesses with 10 or more employees went from around 12% in late 2023 to around 35% in June 2026, and it stands at 28% among businesses with fewer than 10 employees against 49% among those with 250 or more. Only 10% of the businesses with 10+ employees that use AI report extensive use across their operations. Buying AI monitoring before fixing your pages is the wrong order.

The annual bill, three set-ups

Single site, business doing it in-house. Search Console, Analytics 4, Keyword Planner, Screaming Frog up to 500 URLs, Bing Webmaster Tools. Cost: zero. It covers a business site under five hundred pages and lets you work on the pages that already collect impressions without collecting clicks, which on most sites number in the dozens.

SME with ongoing SEO. SE Ranking Core at $129 a month comes to $1,548 a year, around $1,240 with annual billing. Add the Screaming Frog licence at £199 if the site goes over 500 URLs. It is the right set-up for a business that follows one domain and wants to see positions every day rather than now and then.

Agency or multi-site business. Semrush Pro+ at $299 a month is $3,588 a year before crawler licences and extra users. Here the maths has to be redone on the number of projects: below ten clients the cost per client stays around $30 a month or more, while with SE Ranking Growth at twenty clients it drops below $15 a month and stops being a line worth discussing.

SEO software is one line in a wider budget. We did the sums on how it fits with the other subscriptions in the guide to the best digital marketing tools, and on the order in which to switch channels on when time is short in the one on marketing for SMEs.

Five criteria, in order of weight

  1. How many keywords you actually track. Count them before looking at price lists. A business that monitors forty and buys a 5,000-keyword plan pays for 4,960 positions it will never open. The limits that bite first are tracked keywords and number of sites, not features.
  2. Whether it connects to Search Console. Without that connection everything you read is an estimate. The table higher up this page exists only because the two figures sat side by side.
  3. How often it updates positions. Daily on active projects; weekly is enough for maintenance monitoring. Many cheap plans update every seven days and do not say so on the home page.
  4. Whether it exports to CSV and has an API. The day you change platform you either take your history with you or lose it, and in rank tracking the history is the useful part.
  5. What it costs per person. Many price lists are per seat: an extra user on Ahrefs Lite costs $40 a month, which with three people almost doubles the fee.

The rest is judged in a trial. It is worth remembering the size of the market you are choosing in: the annual census by Scott Brinker and Frans Riemersma counted 15,384 martech products in 2025, 9% more than the 14,106 of the year before. No business has to choose among fifteen thousand programs: it has to choose two or three and use them.

If the work concerns a business with physical premises, much of the game is played on different tools: we set them out in the guide to local SEO. If the subject is industrial or B2B, the starting point is B2B SEO strategy, and what can be handed to a script instead of a subscription is in the piece on SEO automation.

When there is no time to open the dashboards, the choice is between leaving the subscription unused and handing the work to someone: our SEO services start from here, and the numbers from current projects are on the projects page.

Frequently asked questions

What is the best SEO software?

No single tool wins outright. For UK and English-language sites the reference suites are Semrush and Ahrefs, with plans from $139 and $129 a month, and SE Ranking is the cheaper alternative from $129 a month for 10 projects. The free software to open before any of them is still Google Search Console, because it is the only one that measures instead of estimating.

How much does SEO software cost?

Entry plans for the suites range from $29 to $139 a month. An SME with one site spends around $1,500 a year including a Screaming Frog licence at £199. An agency with many sites spends over $3,500 a year on the suite alone. List prices read on 26 September 2026.

Can you do SEO with free tools only?

For a single site, almost entirely. Search Console, Analytics 4, Keyword Planner, Screaming Frog up to 500 URLs and Bing Webmaster Tools cover technical analysis, keyword research and measuring results. What is missing is daily rank monitoring and systematic competitor analysis.

Why do two tools give different search volumes for the same keyword?

Because they use different time windows. A rank tracker usually keeps a twelve-month average refreshed at intervals, while Google Keyword Planner returns the latest available period and follows seasonality. In our comparison of ten searches on 13 September 2026 the gap reached 63%. The volume of a single keyword should therefore be read as an order of magnitude, not a measurement.

How often should rankings be checked?

Daily only on projects under active work, where you need to spot a drop quickly. On a site in maintenance a weekly check is enough, and the figure that matters most is not the position but the trend in clicks and impressions in Search Console.

In seven years of projects we have never seen a subscription move a ranking. Pages move rankings. Software is good for two things only: knowing which pages to work on first and noticing quickly when something stops working. Both are worth the money only if someone opens the dashboard every week and decides something. When the subscription stays active and nobody looks at it, the real cost is not the fee: it is the decision nobody made, and that does not appear in any report.
